When we act for someone else
Where a company engages us to arrange an event or programme and provides us with information about its employees, delegates or guests, that company decides how the information is used and we act on its instructions. In that situation we process the information on their behalf under a written agreement, and questions about it should be directed to them in the first instance. We will assist them in responding.
What we collect
If you contact us or request a proposal: your name, employer, job title, email address, telephone number, and what you tell us about what you are planning — destinations, dates, group size, budget.
If you travel with us or attend an event we manage: in addition to the above, and depending on the arrangement — date of birth, nationality, passport number and expiry, next of kin and emergency contact, rooming and travel preferences, loyalty programme numbers, and payment details.
Sensitive information. To arrange your travel or event safely we may need information about dietary requirements, allergies, mobility needs, or medical conditions relevant to your participation. We ask for this only where it is necessary, we use it only for that purpose, and we share it only with the suppliers who need it. Where required, we will ask for your explicit consent before collecting it.
If you use this website: IP address, browser and device information, pages viewed, and cookie data. See our Cookie Policy at [link].

Who we share it with
Suppliers who deliver your arrangements — hotels, lodges, airlines, air charter operators, transport companies, guides, venues, technical and production partners, restaurants. We share only what each supplier needs.
Professional advisers and service providers — our accountants, insurers, IT and payment providers, under confidentiality obligations.
Authorities — where required by law, including immigration and border requirements.
We do not sell personal information, and we do not share it for third-party marketing.
Cookies and analytics
We use cookies that are necessary for the website to function. We also use analytics cookies to understand how the website is used.
Analytics and other non-essential cookies are set only if you accept them. You can change or withdraw your choice at any time through the cookie settings on this website. Full detail is in our Cookie Policy at [link].
Sending information across borders
We operate between Europe and Africa, and your arrangements may involve suppliers in other countries. Your information will therefore be transferred internationally, including to countries whose data-protection laws differ from those where you live.
Where we transfer personal information out of the European Economic Area, we do so under an approved safeguard. You may request a copy of the safeguards we use by contacting us.
How long we keep it
- Enquiries that do not proceed - 2 months
- Client and traveller records: for the duration of our relationship and then 60 months, to meet legal, tax and insurance requirements
- Financial records – 60 months
- Marketing contacts: until you ask us to stop
Keeping it secure
We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No system is completely secure and we cannot guarantee absolute security, but we will notify you and the relevant regulator where the law requires us to do so following a breach.
Your rights
Depending on where you are and which law applies, you may have the right to:
- ask what information we hold about you and receive a copy
- have inaccurate information corrected
- ask us to delete information we no longer need
- object to or restrict certain uses
- withdraw consent, where we relied on consent
- receive certain information in a portable format
- lodge a complaint with a regulator
To exercise any of these, contact info@lime-dmc.com. We will respond within the period required by law.
Children
Our services are directed at businesses and adult travellers. Where a booking includes a child, we collect only what is needed for that booking and we rely on the accompanying adult’s authority to provide it.
